Service Quote Checklist: What to Include in a Proposal
A clear quote gives a customer enough information to decide what they are buying. Use this checklist with the free QuoteHarbor builder, then review the finished proposal before sharing it. The checklist is a practical drafting aid, not a substitute for terms suited to your business.
Identify the job and both parties
Include your business name, contact email and phone number, the customer name, a descriptive project title, a quote reference and issue date. Avoid including personal information that is unnecessary for the job. A unique reference helps you keep revisions and customer conversations organized.
Describe the scope and exclusions
Explain deliverables in plain language. For a cleaning job, identify the areas and tasks included. For landscaping, describe the area, materials and cleanup. For repair work, state the observed issue and assumptions about hidden damage. For creative work, list formats, deliverables and revision limits. These are scope examples, not ready-made contracts.
Show the customer price
Review the discounted subtotal, entered tax, total, requested deposit and remaining balance. Check that the deposit plus balance equals the total. The QuoteHarbor customer proposal hides your internal cost rows and target margin, while displaying the agreed scope and price summary.
Set dates and next steps
Choose a quote validity period and explain how scheduling will be agreed. Describe what the customer should do to accept or request a revision. QuoteHarbor’s Draft, Sent, Won and Lost labels are manual records: changing a label does not send an email, create a signature or prove acceptance.
Review and retain a copy
Preview the proposal, check spelling and numbers, then use your browser’s print or Save as PDF option. Send the file through your own communication channel. Export the private quote data separately if you need a backup or want to move it to another device. That JSON export includes internal costs, so do not use it as the customer-facing proposal.
Keep your records safe
Quotes stay in the browser on the device where you created them. Clearing browser data can remove them. Back up your library regularly and store exports somewhere appropriate for the customer information they contain. Cloud sync and team accounts are not currently included.
