Start with the scope, not somebody else’s price.
Confirm the rooms or areas, expected condition, tasks, visit frequency, access and any special requirements. Be clear about exclusions such as exterior windows or inside appliances. Agree changes before adding work.
A worked example—from costs to price.
All numbers below are invented to explain the calculation. They are not suggested wages or market rates. Use your actual cost of providing the work, including employment-related costs where relevant.
| Input | Calculation | Amount |
|---|---|---|
| Labor | 4 hours × $30 cost per hour | $120.00 |
| Supplies | Job-specific supplies | $15.00 |
| Travel and setup | Allowance for this example | $15.00 |
| Direct costs | $120 + $15 + $15 | $150.00 |
| Overhead | 10% of direct costs | $15.00 |
| Total included costs | $150 + $15 | $165.00 |
| Price at 25% margin | $165 ÷ (1 − 0.25) | $220.00 |
The $55 difference is 25% of the $220 selling price, before any expenses you left out. This example uses no discount and no tax. Enter the correct tax treatment for your own work; QuoteHarbor does not determine it.
Overhead is entered as an allowance. Avoid counting the same travel, tools or other expense twice. A 25% margin is different from adding 25% to costs: see the comparison.
What goes on the customer’s proposal?
- Your business and contact details.
- The customer, quote reference and date.
- The work included and explicitly excluded.
- The total, applicable tax and any requested deposit.
- How to confirm the scope and arrange the work.
Your labor costs, overhead and margin stay in your working quote. Share the printed proposal, not your JSON backup, which contains private working data.
